We know that sending your child on a study tour across the world is a huge act of trust. At Eduvel, we believe that true learning and fun can only happen when a child feels 100% safe, supported, and at home.
The safety and well-being of all our students (aged 12-17) is not just a policy, it is the foundation of everything we do. This is a professional and rigorous commitment to safeguarding, but written to be clear and easy for you to understand.
We have established a clear and professional structure to manage your child's safety, which is our continuous responsibility.
Every program is overseen by a Designated Safeguarding Lead (DSL) and a Deputy DSL. They have completed specialist safeguarding training and are the primary points of contact for any concerns. We encourage all students to feel comfortable approaching their DSL with any matter, no matter how minor, ensuring a safe and accessible channel for raising concerns.
A dedicated staff member or the DSL/Deputy DSL is available at all times.
Our comprehensive policy is developed with reference to the fundamental Japanese legislation on child welfare and protection, including strict Japanese child protection and welfare laws, supported by comprehensive staff background checks, ensuring the highest legal standards.
We carefully select and prepare our staff to be professional and trustworthy role models.
As part of our uncompromising safer recruitment process, all Eduvel staff must obtain an official Certificate of Criminal Record prior to employment, in strict compliance with Japanese law. Where obtaining a formal certificate is legally restricted, a binding Statutory Declaration is mandated. Our rigorous vetting process also includes:
Every staff member receives in-depth safeguarding before working on any program, covering all aspects from recognizing abuse to maintaining professional boundaries.
We maintain clear, strict rules and continuous supervision to protect every student.
We ensure a high level of supervision with a maximum staff-to-student ratio of 1:10 on all activities and excursions. We also use a buddy system and conduct regular headcounts.
All students must return to their homestay or accommodation by 18:00 daily. For their safety, students are not permitted to travel independently at any time and must always remain in supervised groups.
We strictly enforce a "Zero Personal Digital Contact" rule during the program. Staff and homestay hosts are strictly prohibited from exchanging any personal social media accounts (Instagram, TikTok) or private contact information with students. All official communication must use company-provided channels.
※ This shall not apply to communication conducted within the scope of business purposes officially approved for use by the company due to recognized business necessity.
Your child's physical environment is thoroughly vetted and monitored.
Homestay families are carefully selected through a process that includes a criminal record declaration from all household members, a safety checklist, and an online home visit and interview.
Partner hotels undergo on-site safety reviews covering fire, security, and room allocation (e.g., gender-separated areas).
All excursions and activities are subjected to a thorough risk assessment before delivery, and experienced staff lead all trips.
Students are supervised 100% of the time during activities. Even during approved short commutes, we use a strict "Buddy System" so no child is ever walking alone.
We are prepared to respond quickly and professionally to any issue, from minor concerns to emergencies.
Staff are trained in first aid and will arrange prompt access to medical facilities as needed. A staff member will always accompany any student under 18 to medical appointments.
We understand that studying abroad can be overwhelming. We prioritize emotional well-being just as much as physical safety. Whether it's homesickness or anxiety, our DSL is trained to provide a caring, professional, and coordinated response.
We are committed to an inclusive environment (including for LGBTQ+ students) where everyone feels comfortable raising concerns. All students are taught the 4 Rs Core Response Procedure (Recognize, Record, Report, Refer) and can approach any staff member at any time, regardless of language or cultural barriers.
